This Privacy Policy explains how ResponiQ LLC (“ResponiQ”, “we”, “us”) collects, uses, and shares information when you use our website at https://www.responiq.app and our review-management service (the “Service”). By using the Service you agree to this Policy.
ResponiQ is a U.S.-based software provider that helps businesses manage and reply to their publicly posted Google reviews. For our customers' business data (including their reviews and the feedback they collect), we act as a service provider / processor, see our Data Processing Addendum. For information we collect about visitors and account holders directly, we act as a controller.

We do not seek to collect special categories of sensitive data, and we ask customers not to input protected health information (PHI) or other sensitive personal data into the Service (see Section 8).
To provide, secure, and improve the Service; to generate AI draft replies at your request; to authenticate users and process payments; to provide support; to send service communications (review alerts, escalation notifications, digests) and, with consent where required, marketing communications; to monitor performance, detect abuse, and debug errors; and to comply with law. We may use aggregated and de-identified data for analytics and product improvement; such data cannot reasonably identify you. We do not sell your personal information and do not use it for third-party advertising.
Review text you choose to process is sent to our AI model provider (Anthropic) to generate a draft reply. Under our commercial agreement, your data is not used to train models. Drafts are returned to you for review, see the AI & Acceptable Use Addendum for how publication and the optional auto-approve feature work.
ResponiQ's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We access Google Business Profile data solely to provide the review-management features you request. We do not use Google user data for advertising, do not sell it, and do not allow humans to read it except with your consent, for security purposes, or to comply with law. You can revoke ResponiQ's access at any time from your Google account permissions or by disconnecting the location in the dashboard.
We share information only with service providers (“sub-processors”) under contract:
We may also share information to comply with law or legal process, to protect rights and safety, or in connection with a merger, acquisition, or sale of assets. We do not sell your personal information and do not share it for cross-context behavioral advertising.
Our primary database (including review data and encrypted Google tokens) is hosted with Supabase in the United States (Oregon); application hosting and our other sub-processors also operate primarily in the United States. We retain personal information while your account is active and delete or de-identify it within 30 days of account deletion, except where longer retention is required by law (e.g., billing records). We use reasonable technical and organizational measures including encryption in transit, encryption of stored OAuth tokens, tenant isolation with row-level security, and least-privilege access. No system is perfectly secure, and we cannot guarantee absolute security.
Some of our customers are healthcare providers (for example, physical therapists and chiropractors). ResponiQ processes only publicly posted reviews and is not designed to handle protected health information (PHI). ResponiQ is not a HIPAA “covered entity” or “business associate,” and we do not enter into Business Associate Agreements. We instruct customers not to input PHI into the Service, and our AI guardrails are designed so that public replies do not confirm patient status or disclose health information. Customers remain responsible for their own regulatory compliance.
You can export all your data (Settings → Download my data) and permanently delete your account (Settings → Danger zone) at any time, no email required. You can disconnect your Google account at any time and opt out of marketing emails. For anything else, contact privacy@responiq.app.
You have the right to know what personal information we collect, to access, correct, and delete it, and to be free from discrimination for exercising your rights. We do not sell your personal information and do not “share” it for cross-context behavioral advertising. You may use an authorized agent; we will verify requests before responding.
Where applicable state privacy laws grant similar rights, we honor them through the same channels.
The Service is directed at U.S. businesses and our infrastructure is located in the United States. If you are in the EU or UK, using the Service therefore involves transferring your personal information to the United States. We honor GDPR data-subject rights (access, rectification, erasure, portability, restriction, objection) for EU/UK individuals through the same self-serve tools and contact address, and where required we rely on the Standard Contractual Clauses for such transfers (see our DPA).

The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
We may update this Policy and will revise the “Last updated” date; material changes will be notified by email or in-app. Continued use after the effective date constitutes acceptance.
